1. Time zone & location
All appointments are held in PST / PDT in the Vancouver, British Columbia time zone.
In-store appointments are held at: 1826 Lonsdale Ave, North Vancouver, BC V7M 2J9.
2. Rescheduling
Appointments timings and rescheduling time windows are set by individual practitioners.
It is strongly suggested to change appointment times 48 hours in advance. The scheduling system allows you to change the appointment time up until a scheduled time frame, which has been set based on the practitioner’s preferences. Not all practitioners have the same time window to reschedule. For more information about appointment time changes, please call the store.
If you have an emergency, feel ill, or cannot make your appointment outside of the scheduled time (and the system does not allow you to reschedule), please call the store to discuss your concerns.
3. Practitioners availability
Each practitioner has their own calendar available to be booked weeks in advance.
We will attempt our very best to accommodate the scheduled appointment once booked but cannot guaranteed that appointment will take place.
If the scheduled appointment conflicts with an unforeseen circumstance, on account of the practitioner (e.g., the practitioner is no longer available), an attempt will be made to reschedule the appointment at both the client and practitioners’ convenience.
4. Payments
If the system provides you the ability to change the appointment time, you can choose to do so, and the payment will be allocated to the new time.
To respect our practitioners, after booking an appointment online, you can cancel your appointment, but you will forfeit your payment.
Once you have booked an appointment with a specific practitioner, you have committed your decision to see that practitioner.
The scheduling system will not allow you to change the practitioner.
5. No Shows
If you do not call the store, or arrive late to your appointment without prior notice, you forfeit your entire payment without being rescheduled.
6. Online appointments
Meetings will be held online through the corresponding URL provided.
If you are booking an online appointment, it is expected that you have access to a device that has a microphone and camera that has been properly configured. The device should be able to connect to the internet, and a reliable internet connection should be available.
We are not liable or responsible for a connection failure. If during a session the connection fails, the practitioner will attempt to reach out by other means (e.g., phone call) for the remaining duration of the scheduled appointment.
Practitioners will be available to connect online from the URL provided and will begin the conference call with only those whose identity correspond with the scheduled client.
If requested, a practitioner will find other means to connect with you (e.g., phone call).
If the client is not present on the conference call at the scheduled time, an attempt will be made by the practitioner to reach out through other means (e.g., phone call) to follow-up. If you still cannot be reached, then the appointment will be considered a "no show".
7. Service policy and credits
If an appointment has been canceled, all payments received from any type of service will not be transferable to merchandise or any other store purchases.
No credit of any kind will be issued for anything other than rescheduled appointments if applicable.
8. Personal Information & Confidentiality
All personal information inputted and discussed are completely confidential.
Our practitioners have a strict confidentiality policy and will not disclose any details discussed during your time with them.
We are not responsible for any data leakage, and cannot guarantee that online readings are 100% secure. Security and Privacy falls on the applicable technology being used. Please see Google Meet privacy policy, before booking an online meeting.
9. Zero tolerance
UTOPIA – Sacred Space is committed to providing a safe, secure, and respectful environment for all clients and staff.
If at any time during a session, our staff feels unsafe, threatened, abused, or disrespected, they have authority to end the session early and no refund will be issued.
Absolutely no abuse, harassment or discrimination will not be tolerated.
10. Additional time & follow-up
All appointments will be timed according to their time slot, however, due to the nature of the work being conducted, an appointment can go beyond the scheduled time.
Practitioners will be mindful of time and will notify the client upon nearing the end of the time slot.
At the discretion of the practitioner and the client, if an agreement is made to continue the session for longer than the allocated time slot, the appointment time will be extended, and any additional payments will be billed accordingly.
At the end of the session, if the client wishes to schedule a follow-up appointment about the same discussion conducted in their first appointment, they can do so, and notify the practitioner to book on behalf of them.
11. Liability
UTOPIA and its Practitioners are not liable or responsible for any actions or decisions that the client may or may not conduct.
